Privacy notice for the OLNP People and Nature Closed Directory

Who collects your personal data

The Local Nature Partnership manager and communications co-ordinator are employed by South Oxfordshire and Vale of White Horse District Councils as the lead partners on behalf of the six local councils of Oxfordshire (Cherwell District Council, Oxford City Council, Oxfordshire County Council, South Oxfordshire and Vale of White Horse District Councils, and West Oxfordshire District Council).

South Oxfordshire and Vale of White Horse District Councils (the councils) take the role of Data Controller for the Oxfordshire Local Nature Partnership (OLNP). The data controller is South Oxfordshire and Vale of White Horse District Councils which employs the staff of the OLNP, whose contact details are:

What personal data is collected and how it’s used

Oxfordshire LNP would like to collect the following information:
· Name
· Organisation
· Job role
· Email address
· Phone number (optional)

This data may be used to:

· Send you updates about events, workshops, and resources
· Share with other individuals and organisations who have opted to join the OLNP People and Nature Directory to support networking and partnership development.

Who Oxfordshire Local Nature Partnership shares your personal data with

Oxfordshire Local Nature Partnership may share your personal data with:

·  Other individuals and organisations in the OLNP People and Nature Closed Directory, to support networking and partnership creation. These organisations may include environmental, health, and community NGOs, charities, local authorities, businesses, and individuals across the Oxfordshire region with a focus on connecting people with nature and/or inclusion.

The OLNP respects your privacy and only shares information when necessary or where consent has been given. Information will only be disclosed in accordance with legal requirements, such as the Freedom of Information Act 2000, if applicable.

About the Directory and Information Sharing

The Oxfordshire LNP maintains a closed directory of individuals and organisations involved in our work. This directory is:
· Password-protected, and access is limited to participants of the Oxfordshire LNP network
· Hosted on Webflow servers in the United States (see information below on 'Sharing data outside of the United Kingdom')

By agreeing to be included in the directory, you:
· Agree not to share the password or directory access with anyone outside the network
· Acknowledge that, despite our reasonable security measures, there is a residual risk (for example, if someone passes on the password), and you accept this risk as part of your participation.

We do everything we reasonably can to protect participants’ data and access, and we ask all members to act responsibly in how the directory is used.

Lawful basis for processing personal data

We only process your personal data where we have a lawful reason to do so as set out in Article 6 of UKGDPR and for the purposes described above we are relying on your consent under Article 6(a).

We use opt-in consent to send you the information listed above by email, text message (SMS) or telephone (if you are registered with the Telephone Preference Service). We respect your right to update the way we get in touch with you about our work at any time.

Sharing data outside of the United Kingdom

Our service provider Mailchimp which we use to send out marketing emails to people who have opted in has servers outside the UK. Their terms state that when they process data that originates from the UK, they shall process such data in compliance with the standard contractual clauses in accordance with data protection legislation.

Your personal data are stored on Webflow’s servers, which are located in the United States. Webflow acts as a data processor for customers in the UK and EU and has implemented appropriate safeguards under UK and EU data-protection law:
·  EU Standard Contractual Clauses (SCCs): Webflow’s Data Processing Addendum incorporates the European Commission’s SCCs for transfers of personal data to third countries Webflow.
·  UK International Data Transfer Agreement: Webflow also includes the UK ICO’s International Data Transfer Agreement to cover UK-to-US transfers Webflow.
· Webflow’s EU & Swiss Privacy Policy affirms compliance with UK and EU data-protection requirements for hosting, processing, and securing personal data Webflow.

Data retention

Your data will be retained for the duration of the partnership. We will regularly check to ensure you are still happy for us to retain your details for the stated purposes.

Your personal data will be held until you request its removal. You can do this by contacting:

·  localnaturepartnershipoxfordshire@southandvale.gov.uk, marked for the attention of the Oxfordshire Local Nature Partnership People and Nature Manager, requesting removal from the LNP mailing list.

Automated decision making

Neither the councils nor our contracted service providers utilise any automated individual decision-making.  

Your rights

You have the following rights over your personal data:

·      to withdraw consent
·      to ask for the information that we hold about you
·      to ask us to change information we hold about you if it is wrong
·      to ask that we suspend processing your data for a short while if appropriate
·      to request that your data is deleted
·      to data portability

If you believe we have not handled your personal data as we have described here, please email data.protection@southandvale.gov.uk and your concerns will be fully investigated. If, after we have investigated your concerns, you are not satisfied with our conclusion, you have the right to refer the matter to the Information Commissioner’s Office(ICO), website: ICO Complaints.
